Job Title: CEO Assistant / Assistant Manager
Location: Hybrid
Responsibilities:
1.Agenda and meeting management:
- Maintain and manage the CEO’s calendar, scheduling meetings, appointments and travel arrangements.
- Prepare and organize materials for meetings (agendas, reports, presentations).
- Record meeting minutes and ensure timely follow-up action items.
2.Operational support:
- Assist in managing the CEO’s operational tasks, including planning and tracking strategic goals.
- Monitor project deadlines and ensure milestones are achieved by coordinating with relevant departments.
- Review reports and summaries before presenting to the CEO.
3.Representation and communication:
- Represent the CEO in less critical meetings and provide comprehensive updates.
- Act as a communication bridge between the CEO and departments, ensuring information flow is clear and efficient.
- Follow up with departments on milestones, key deliverables and issues requiring CEO input.
4.Leadership liaison:
- Conduct weekly heads-up meetings with department heads.
- Consolidate departmental feedback and prepare briefing materials for the CEO.
- Identify and escalate key issues that require the CEO’s attention.
Requirements:
- Minimum of 3 years in a similar role (Executive Assistant, Assistant Manager)
- Fluency in English, including strong written and verbal communication skills.
- Exceptional organizational and multitasking abilities.
- Strong interpersonal and relationship-building skills.
- High level of discretion and confidentiality.
