The Employee Benefits Specialist will be part of the Finance team and responsible for coordinating and overseeing the administration of expenses related to employee benefits. This role requires strong communication and reporting skills, as well as good attention to detail. The successful candidate will serve as the primary contact for benefit expenses, building and streamlining expense collection processes, ensuring accurate data flow between various teams and departments, and assisting in the development and implementation of processes for the areas of responsibility.
Responsibilities and duties:
Expense administration:
- Serve as the primary contact for administering expenses related to employee benefits.
- Verify, process, and reconcile benefit invoices and expenses to ensure accuracy and compliance with company policies.
- Coordinate with internal benefit providers to resolve any discrepancies or issues related to invoices and expenses.
- Allocate expenses according to reporting requirements to ensure accurate financial reporting and compliance.
Reporting:
- Prepare and generate regular and ad-hoc reports related to employee benefits expenses, allocations, and other relevant metrics.
- Present findings and recommendations to stakeholders to support improvements and decision-making.
Process development and streamlining:
- Build, improve, and streamline processes related to collecting and managing expenses for employee benefits.
- Implement best practices to enhance efficiency, accuracy, and timeliness in benefit expense administration.
- Collaborate with cross-functional teams to identify areas for process improvement and implement solutions.
Data flow oversight:
- Oversee relevant data flows between engaged teams and departments to ensure accurate and timely processing of benefit expenses.
- Work closely with payroll and accounting teams to ensure seamless integration and processing of benefit-related data.
- Monitor data integrity and consistency across systems and platforms to minimize errors and discrepancies.
Policy, procedure, and objective development:
- Assist in the development and implementation of policies, procedures, and objectives for areas of responsibility related to employee benefit expenses.
- Ensure adherence to established policies and procedures while recommending enhancements or modifications as needed.
- Collaborate with leadership and stakeholders to align policies and procedures with organizational goals and compliance requirements.
Departmental liaison:
- Act as a liaison with the following departments: HR, Tax, Accounting, Financial Planning and Analysis, Payroll, Marketing, and Procurement to ensure effective communication and collaboration on benefit expense-related matters.
- Coordinate with internal departments to gather necessary information, resolve issues, and streamline processes related to employee benefit expenses.
Qualifications and preferred skills:
- A bachelor’s degree or higher in accounting, finance, or another related field.
- A minimum of 3 years of experience in benefit administration, accounting, or a related role.
- A strong understanding of employee benefits, regulations, and tax/compliance requirements.
- Proficiency in Excel is a must and experience with HR or payroll ERP systems would be a plus.
- Excellent organizational, analytical, and problem-solving skills.
- The ability to communicate effectively and collaborate with cross-functional teams.
- Strong attention to detail and a high level of accuracy.
