Position Overview
The Talent Acquisition and Admin Executive plays a vital role in supporting both talent acquisition and office operations. This position helps ensure the smooth running of recruitment activities, candidate experiences, employee onboarding, office logistics, and event coordination. The role is designed for someone eager to develop in both HR and office management, contributing to a positive and efficient workplace environment.
Key Responsibilities
Talent Acquisition:
- Act as the primary point of contact for candidates, providing a seamless and positive experience.
- Schedule and coordinate interviews and assessments
- Assist with candidate sourcing, screening, and maintaining talent pipelines.
- Manage and maintain the applicant tracking system (ATS) with candidate information and recruitment activity.
- Assist with drafting and distributing job offers, rejection letters, employment agreements and other correspondence.
- Track recruitment metrics, such as time-to-fill, sourcing efficiency, and interview outcomes, and provide regular reports to the team.
- Support with employer branding initiatives
Administration:
- Support onboarding activities, including preparation of welcome kits and assisting with orientation sessions.
- Ensure office safety and adherence to health and safety laws
Event Coordination:
- Assist in planning and coordinating logistics for internal and external events.
- Handle event registrations, invitations, and provide on-site support.
- Assist in organizing and executing corporate social responsibility (CSR) initiatives.
Requirements
- At least 1 year in either recruitment, office administration, or similar roles.
- Familiarity with applicant tracking systems (ATS) or recruitment software is a plus.
- Strong organizational and communication skills.
- Proficiency in Microsoft Office Suite.
- Detail-oriented with the ability to multitask in a fast-paced environment.
- Excellent verbal and written communication skills for interacting with internal teams, candidates, and external partners.
- Collaborative and able to work well within a team
- Understanding of handling sensitive information with care and maintaining confidentiality.
- Energetic, approachable, and confident in building relationships across all levels of the organization
