Job Title: Administrator and Personal Assistant to the Manager
Position Summary
We are seeking an experienced and proactive Personal Assistant to provide high-level administrative support to the Manager of our accounting and audit firm. The ideal candidate will possess organizational skills, the ability to handle sensitive information, and the capability to thrive in a fast-paced, dynamic environment.
Main Duties
- Provide administrative support to the Manager such as schedules, appointments, and meetings.
- Issuing invoices and follow up with the clients for their settlement.
- Updating of files and indexes for documents sent and received
- Assist with presentations and media content.
- Update and maintain the firm’s newsletter to keep clients informed of updates and services.
- Prepare templates and update firm databases
- Summarize documents and prepare manuals for the office.
- Assist clients with various office applications.
- Handle sensitive and confidential information with the utmost professionalism and discretion.
- Liaising with governmental authorities.
- Manage and organize phone calls, emails, and other correspondence, ensuring timely follow-up.
- Assist with customer engagement, including responding to inquiries, managing leads, and ensuring client satisfaction.
- Support the Manager in building and maintaining strong relationships with existing and prospective clients.
Qualifications Required
- Proven experience as a Personal Assistant, Executive Assistant, or in a similar administrative role.
- Excellent organizational and time management skills, with the ability to prioritize tasks effectively.
- Strong written and verbal communication skills for correspondence, presentations, and reporting.
- Proficiency in MS Office Suite (Word, Excel, PowerPoint) and familiarity with CRM tools (preferred but not required).
- Strong attention to detail and problem-solving abilities.
- Ability to multitask while maintaining accuracy under tight deadlines.
- High level of discretion and confidentiality in handling sensitive information.
- Positive attitude, flexibility, and a proactive approach to taking on new challenges.
- Strong customer relationship skills and a professional demeanor in engaging with leads and clients.
- Familiarity with the accounting or audit industry is an advantage but not mandatory.
