Administrative Assistant, who will play a vital role in supporting the Leadership team of Directors, ensuring efficient daily operations.
The role requires a blend of organisational, communication, problem - solving skills and technical proficiency.
Primary responsibilities include:
- Communication Management: Answering and directing phone calls, responding to emails, and acting as the first point of contact for internal and external inquiries
- Scheduling: Organising and scheduling appointments, meetings, and travel arrangements for team members
- HR Administration: Monitoring & coordinating Annual leaves of the team
- Office Coordination: Ordering office supplies, managing inventory, and ensuring that all necessary equipment is operational
- Documentation: Preparing and distributing correspondence, memos, reports, and other documents. Maintaining filing systems
- Support Functions: Providing general support to visitors and assisting with various administrative tasks such as data entry and document management
- Confidentiality: Handling sensitive information with discretion and ensuring compliance with data protection regulations
- Team Collaboration: Collaborating with other departments and stakeholders to facilitate communication and workflow
Requirements
- Organizational: Ability to manage multiple tasks efficiently while maintaining attention to detail
- Communication: Excellent verbal and written communication abilities to interact effectively with team members and clients
- Technical Proficiency: Familiarity with office management systems and software, particularly MS Office (Excel, Word, PowerPoint)
- Problem-Solving: Capacity to address issues proactively and find solutions in a fast-paced environment
- Experience: Prior experience in administrative roles is often preferred, along with relevant educational qualifications (high school diploma or equivalent; further education is a plus)
- Fluency in Greek and English
