We seeking a detail-oriented and organized Food and Beverage Administrator to support the daily operations of our food and beverage department. This role is integral to ensuring smooth workflow and efficient communication within the department, facilitating inventory control, scheduling, vendor relations, and administrative support. The ideal candidate will have a background in food and beverage or hospitality management, excellent organizational skills, and the ability to multitask in a dynamic environment.
Key Responsibilities:
• Administrative Support: Manage departmental documentation. Handle correspondence, filing, and other general administrative duties to support department heads.
• Inventory Management: Maintain accurate inventory records, assist in ordering food and beverage supplies, monitor stock levels, and ensure timely restocking of essential items. Work closely with the procurement team to maintain cost-effective inventory levels.
• Vendor Coordination: Liaise with suppliers and vendors to facilitate timely orders, manage contracts, and negotiate favorable terms. Address any discrepancies with orders or deliveries.
• Budget and Expense Tracking: Support budget management by tracking expenses, processing invoices, and maintaining accurate financial records for food and beverage costs. Work with the finance department on monthly reconciliation and cost analysis.
• Compliance and Documentation: Ensure all food and beverage operations adhere to health, safety, and sanitation standards. Keep up-to-date records for licensing, inspections, and certifications.
• Event Coordination: Assist in the planning and execution of food and beverage services for events, including menu coordination, logistics, and scheduling staff.
• Data Analysis and Reporting: Prepare and analyze reports on sales, inventory, and customer feedback to identify trends and areas for improvement. Provide insights to management for optimizing operations and customer satisfaction.
Qualifications:
• Proven experience in a similar role within food and beverage or hospitality industries.
• Strong organizational and multitasking abilities with attention to detail.
• Proficient in Microsoft Office Suite, especially Excel; familiarity with POS systems is a plus.
• Excellent communication and interpersonal skills to work with cross-functional teams and vendors.
• Knowledge of food safety and hygiene standards preferred.
