Role Description
This is a full-time remote role for a Personal Assistant to the Chief Executive Officer. The Personal Assistant will be responsible for executive administrative assistance, managing the CEO's tasks, and performing administrative tasks to support daily operations.
Qualifications
- Executive Administrative Assistance and Personal Assistance skills
- Administrative Assistance abilities
- Strong organizational and time management skills
- Excellent written and verbal communication skills
- Proficiency in MS Office and other relevant software
- Attention to detail and discretion in handling confidential information
- Prior experience in a similar role or real estate industry knowledge is a plus
- Marketing or Financial University Degree
- Languages: English & Russian or Ukrainian
Responsibilities
- Administrative Support: Manage the CEO’s schedule, appointments, meetings, and travel arrangements. Handle correspondence, calls, and emails on behalf of the CEO.
- Project Coordination: Assist with marketing campaigns, ensuring tasks are completed on time and according to the CEO's directions. Track progress and report updates to the CEO.
- Client Relations: Communicate with clients, vendors, and partners. Schedule meetings, prepare agendas, and follow up on action items to ensure smooth communication and collaboration.
- Research and Reports: Conduct market research, competitor analysis, and gather data to support the CEO’s decision-making process. Prepare reports, presentations, and briefs.
- Marketing Support: Assist in coordinating marketing strategies, including social media campaigns, content creation, and ad placement. Collaborate with marketing teams to ensure alignment with the CEO’s vision.
- Document Management: Organize and maintain important business documents, contracts, and marketing materials. Ensure that all files are up-to-date and easily accessible.
- Event Coordination: Help plan and coordinate events, open houses, property showcases, and client meetings. Ensure all logistical details are handled smoothly.
- Personal Tasks: Handle personal errands and tasks for the CEO as needed, including scheduling appointments, managing household matters, or arranging personal travel.
- Confidentiality: Maintain strict confidentiality of all business and personal matters related to the CEO and the company.
- Problem Solving: Act as a go-to person for urgent issues, helping the CEO resolve challenges quickly and efficiently.
