Job Description

Job Title: Administrative Assistant
Reports to: Head of Legal
Location: Kifissia - GR
Job Summary: Provide administrative support to the Legal Department and cross functional teams

Main Responsibilities

Serves as a point of contact between the legal department and other departments within the company such as operations, finance, commercial, technical, accounts and administration, to relay information and gather data as needed and to ensure that legal requirements and concerns are addressed promptly;
Provides general administrative support to the legal team, including scheduling meetings, managing calendars, preparing and handling correspondence;
Prepares and maintains organized Excel files for archiving and tracking various matters, ensuring accurate documentation and easy retrieval of information;
Manages and maintains accurate and organized legal documentation and databases, both in hard copy and electronic format;
Organizes the obtaining of the executed versions of documents;
Maintains corporate and departmental records including administrating and organizing the Legal & Compliance files and record keeping system;
Prepares and files documents with government bodies, industry associations, and other relevant authorities and counterparties as required;
Ensures that compliance deadlines are met;
Performs other related duties, as required by business needs;
Continuously learns and develops corporate knowledge and skills, with the goal of advancing within the role

Requirements

Desired Skills & Experience

Bachelor's Degree
Experience in secretarial position of 2-3 years
Experience within Shipping sector will be considered a plus
Proficiency in office software such as Microsoft Office (Word, Excel, Outlook)
Familiarity with legal and corporate terminology, procedures, and documents will be considered a plus
Excellent organizational skills and time management skills
