Overview
PAVE is seeking a highly organized and proactive Executive Assistant to support our Founder/CEO and ensure the smooth operation of both personal and professional activities. The ideal candidate will possess exceptional organizational skills, a keen attention to detail, and the ability to manage multiple priorities in a fast-paced environment. This role requires a resourceful problem-solver who is comfortable handling confidential information and working closely with high-profile talent and executives. The Executive Assistant will coordinate complex calendars, manage day-to-day team operations, and oversee travel arrangements, while also supporting broader company initiatives such as team events and holiday planning. A strong proficiency in Google Suite, excellent communication skills, and the ability to anticipate needs are essential. This is a key position that will play a critical role in enabling the success of the Founder and the broader PAVE team.
Essential Functions:
- Manage complex calendar, personal and professional, schedule and coordinate meetings both with internal and external teams. Work proactively to reschedule and to prioritize last minute changes to accommodate priorities.
- Ensure the calendar reflects priorities, while also making it appropriately available to internal and external parties.
- Coordinate day to day team operations, including recurring internal meetings, communications on behalf of Founder/CEO.
- Schedule and coordinate personal and professional travel - booking flights, car services, hotels and reservations. Prepare detailed travel itineraries for all trips.
- Manage general office and administrative tasks such as ordering supplies, catering, meeting room preparation, renewing subscriptions, mailing & deliveries.
- Responsible for preparing and maintaining meeting materials and presentation decks, drafting meeting notes, handling monthly expense reports, gift giving and reservations.
- Overall be the “go to” for any administrative needs and have the tenacity to see things through with a sense of urgency
- Conduct research on industry trends, meeting notes and ensure the Founder/CEO is prepared for meetings.
- Assist with preparation for speaking engagements and conferences, as required.
- Be proactive and anticipate needs and/or changes that may occur.
- Plan vacations for family and talent with travel itineraries.
- Plan dinner parties for family and talent, and ad hoc occasional errands.
- Coordinate team dinners, team building activities and in person staff meetings including location, meals, materials and transportation when needed.
- Perform other duties, as assigned by the Founder/CEO.
Prerequisite Knowledge, Skills, and Abilities:
- 2+ years of experience as an executive assistant or similar role in the entertainment or content production industry.
- Experience coordinating and managing travel plans and events, both personal and professional.
- Exceptional organizational skills with a strong ability to prioritize tasks, meet tight deadlines, manage multiple calendars, coordinate complex schedules, and handle large volumes of email and correspondence.
- Ability to prioritize multiple projects and expectations and maintain a sharp focus while managing competing priorities.
- Proficient in presentation deck building for meetings.
- Proficient in using Gmail, Google Drive and Google Calendar.
- Ability to comfortably work closely and discreetly with well-known talent and executives.
- Ability to handle sensitive information with a high degree of confidentiality and professionalism.
- High level of accuracy and attention to detail in all tasks, including travel details, documentation, scheduling, event planning and coordination.
Physical and Mental Demands:
- Ability to stand and sit for extended periods of time.
- Ability to lift up to 50 pounds in a safe and prudent manner.
- Ability to work and communicate well with other employees, management, individuals well-known to the public, creators, and studios.
- Ability to perform work utilizing manual dexterity of the hands.
- Ability to reach above and below shoulders, bend, stoop, squat, crouch, climb, kneel, push and/or pull, and twist.
- Ability to read, write, and understand English.
- Ability to work in a fast-paced environment.
- Ability to work in the Los Angeles PAVE Studios office environment on a full-time basis, with some night and weekend work, as required.
- Ability to remain calm and composed under pressure and in high-stress situations.
- Ability to succeed in a fast-paced, around-the-clock work environment.
- Correctable vision and hearing.
