With many years of experience in the import and marketing of pharmaceutical and medical devices, this expanding firm now seeks a Purchasing Logistics Officer to join the team in Nicosia, Cyprus.
Job Description
Purchasing
- Assist in identifying any potential suppliers, collecting, archiving and pertaining all data and documents supporting the compliance of these suppliers and their products and/or services with the quality, regulatory and company requirements and standards and evaluating and approving these suppliers and their products and/or services.
- Liaise with the approved suppliers to ensure timely and accurate order placement and follow-ups.
- Monitor the stock levels and generate properly and timely all purchase orders based on the inventory requirements.
- Ensure the compliance with the quality, regulatory and company requirements and standards for all suppliers and their purchased products and/or services.
- Maintain all supplier records and ensure the proper documentation of all transactions.
Logistics:
- Support in managing the products imports, including the customs clearance and the shipping arrangements.
- Assist in managing the delivery schedules to ensure timely and efficient product distribution.
- Receive and manage the customer orders for the medical devices reimbursed by the General Healthcare System (GESY) and perform all processes to obtain from the Health Insurance Organization the payments for these products.
- Assist in managing and documenting the activities related to the medical equipment (installation, preventive and corrective maintenance, performance inspection, software updates, upgrades), the medical samples, the evaluation products and the demonstration products.
- Work closely with the warehousing team to ensure accurate receipt and storage of the products.
- Manage in cooperation with the other departments the returned products.
- Monitor and address any logistics issues, such as delays or discrepancies.
- Prepare and maintain any shipping and logistics reports and any medical device lists to be submitted to the authorities.
Collaboration & Reporting:
- Collaborate with the sales and customer service teams to meet any product availability needs.
- Provide regular updates on the purchasing and logistics activities to the management team.
Your Profile
- Degree or diploma in Purchasing and/or Logistics studies, Business Administration, or a related field.
- Previous experience in purchasing, logistics, or supply chain roles, preferably in the pharmaceutical or healthcare sector.
- Fluency in English and Greek is essential.
- Familiarity with the Catalogue Z, which includes essential products reimbursed by the General Healthcare System (GESY) in Cyprus and understanding of the regulatory requirements and processes associated with it.
- Strong organizational skills with attention to detail and accuracy.
- Excellent communication and negotiation skills.
- Familiarity with import/export regulations and customs procedures is an advantage.
- Proficiency in Microsoft Office (Excel, Word, Outlook); ERP experience is a plus.
- Ability to work under pressure and meet deadlines in a fast-paced environment.
