Office Manager to join our dynamic team at HFM.
The Office Manager is responsible for ensuring the smooth and efficient operation of the office. This includes managing office supplies, coordinating internal communication, overseeing office maintenance, and ensuring that administrative support is provided where necessary. The Office Manager will also assist with travelling and expense tracking, while providing a welcoming environment for both employees and visitors.
Your role at HFM
- Serve as the primary point of contact for office-related inquiries and ensure the office is functioning efficiently and effectively on a daily basis.
- Oversee the organisation, maintenance and cleanliness of the office, including signage, seating plans, workstations and common areas.
- Liaise with I.T. Services to co-ordinate the needs for office equipment (computers, printers, telephones, etc.) and ensure their timely upkeep and repair.
- Organize and schedule meetings and appointments.
- Manage the office’s filing system, both electronic and physical, ensuring accuracy and confidentiality.
- Handle correspondence, phone calls, and emails as needed.
- Order and maintain an adequate stock of office supplies, equipment, furniture and other essentials.
- Manage relationships with office vendors, service providers, and building management.
- Process invoices, track office expenditures and payments and manage vendor contracts by managing office-related budgets.
- Assist in onboarding new employees by providing orientation and office setup support.
- Plan and organize internal and external office events, meetings, and other functions.
- Coordinate logistics such as business travel, and transportation.
- Coordinate the daily catering for the office and ensure that the kitchens and lounge are fully equipped and functional.
- Manage the suppliers and vendors to ensure that timely and quality services are provided.
- Develop and implement office policies to enhance efficiency and ensure compliance with organisational standards.
- Ensure adherence to health and safety laws and regulations.
- Assist in other admin functions of the company, when needed.
- Contribute to a dynamic working environment that promotes positive morale.
Requirements
What You Bring:
- BSc/BA in Business Administration, Management, or a related field.
- Proven experience as an Office Manager, or Senior Administrative Assistant, with a minimum of 5+ years’ experience.
- Proficiency in MS Office (Word, Excel, PowerPoint), Google workspace and office management software.
- Very good knowledge of the English language.
- Ability to multitask and prioritise work effectively.
- Excellent organizational and time management skills.
- Strong communication and interpersonal abilities.
- Problem-solving skills with attention to detail.
- Knowledge of basic accounting principles and budget management would be considered an advantage.
EU/EFTA citizens OR holders of a Cyprus work permit OR foreign nationals married to an EU citizen.
